Accounting Manager (Full-Time)

Job Summary:

The Tampa Museum of Art seeks an experienced Accounting Manager to lead the daily finance operations of the Museum and the Tampa Museum of Art Foundation. Reporting to the Controller, this role owns the day-to-day accounting cycle — close, reconciliations, AP/AR, payroll coordination, and routine financial reporting — freeing the Controller to focus on financial strategy, board engagement, and long-range planning.

This is a hands-on management role for someone who enjoys both the technical work of accounting and the operational discipline of running a clean, audit-ready finance function inside a mission-driven cultural institution.

Responsibilities:

Daily & Monthly Operations

  • Manage the full-cycle accounting process across both entities (Museum and Foundation), including month-end and year-end close
  • Oversee accounts payable, accounts receivable, cash receipts, and credit card reconciliations
  • Maintain the general ledger; review and post journal entries
  • Reconcile bank, investment, and balance sheet accounts monthly
  • Coordinate bi-weekly payroll processing with HR and the external payroll provider

Fund & Restricted Accounting

  • Track and reconcile restricted, temporarily restricted, and unrestricted funds in accordance with GAAP nonprofit standards
  • Maintain grant accounting records, including expenditure tracking, drawdowns, and grantor reporting
  • Support endowment accounting and investment activity reconciliations

Reporting & Compliance

  • Prepare monthly financial statements, departmental budget-to-actual reports, and ad hoc analyses for the Controller and department heads
  • Lead preparation of audit schedules and serve as the primary point of contact with external auditors during fieldwork
  • Support preparation of Form 990 and Florida state filings
  • Maintain and enforce internal controls; recommend process improvements

Team & Cross-Functional

  • Supervise accounting staff (direct reports as assigned)
  • Partner with Development, Membership, Visitor Services, and Retail to ensure clean revenue capture and accurate coding
  • Serve as backup to the Controller as needed for executive committee reporting

Qualifications:

  • Bachelor’s degree in Accounting, Finance, or related field
  • 5+ years of progressive accounting experience, including 2+ years in a supervisory capacity
  • Strong working knowledge of GAAP; familiarity with nonprofit accounting standards.
  • Demonstrated experience managing month-end close and audit preparation
  • Advanced Excel skills (pivots, lookups, complex reconciliations)
  • Excellent attention to detail and ability to manage multiple priorities and deadlines
  • CPA or active candidate, preferred
  • Nonprofit, museum, or cultural institution experience, preferred
  • Experience with fund accounting software (Financial Edge NXT, Sage Intacct, or Blackbaud products), preferred
  • Experience with restricted gift and grant accounting, preferred
  • Familiarity with Raiser’s Edge or other CRM/donor systems for revenue reconciliation, preferred

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to occasionally perform light lifting, thirty (30) pounds or less, of printed materials and office supplies.
